WeChat CRM: what it does and how to set one up (2026)

WeChat CRM

TL; DR: Quick Summary

  • A WeChat CRM puts scans, chats, and purchases on one customer profile, which a follower list alone can't do.
  • Tencent reported 1,439 million Weixin and WeChat monthly active users in June 2026, so the hard part is identifying customers.
  • Tencent allows replies for 48 hours after a customer message but only one minute after a follow, scan, or qualifying menu click.
  • PIPL Article 39 requires notice and separate consent to send personal information abroad, so ask local counsel before syncing data outside China.
  • You're ready to connect a platform once you can name one goal, one region, and one metric.

Say your WeChat Official Account has 200,000 followers. You can message all of them, but you can't say which ones bought last quarter, which store they visited, or what they asked in chat.

That's a broadcast list, and a customer database is a different thing. A CRM for WeChat closes the gap by putting your Official Account, Mini Programs, and WeCom contacts on one customer record.

This guide covers the building blocks, the messaging limits, the consent questions, and an 8-step plan.

What is a WeChat CRM, and why does it matter?

A WeChat CRM is a customer database that connects WeChat's business tools (the Official Account, Mini Programs, and WeCom) so messages, behavior, and purchases sit on one profile. It matters because customers chat with a brand and shop from it inside the same app, so the two histories belong together.

Tencent reported 1,439 million monthly active users of Weixin and WeChat combined at 30 Jun 2026, up 2% from a year earlier. At that scale, a follower count says little about who your customers are.

How do classic, social, and WeChat-native CRMs differ?

A classic CRM records commercial history, a social CRM adds conversations from messaging channels, and a CRM built for WeChat adds signals such as menu taps, QR scans, Mini Program activity, and WeCom contacts.

What it records

Typical question it answers

Classic CRM

Accounts, contacts, deals, orders, and tickets

Who bought what, when, and for how much?

Social CRM

The above, plus conversations from messaging channels

What did this customer ask, and on which channel?

CRM built for WeChat

The above, plus menu taps, QR scans, Mini Program activity, and WeCom contacts

Where did this person join, and what did they do next?

What are the building blocks of a CRM setup for WeChat?

A CRM setup for WeChat uses three assets that do different jobs, tied together by one customer record so each person appears once. The Official Account handles discovery, Mini Programs and Mini Shops handle transactions, and WeCom handles staff conversations with customers.

  • The Official Account holds followers, publishes articles, and carries the menu bar.
  • Mini Programs and Mini Shops. Tencent describes a Mini Program as a way to link users with services inside WeChat.
  • WeCom is Tencent's workplace communication platform. Tencent says staff can serve customers who use Weixin, and those relationships belong to the company.

What are WeChat's messaging limits?

WeChat limits when and how often a business can message. A customer message opens 48 hours and 5 replies, while a follow, a scan, or a click on a qualifying menu type opens only one minute and three messages.

Message type

When you can send

Typical CRM use

Reply after a customer message

Within 48 hours, with a cap of 5 messages

Live support and qualification

Reply after a follow, scan, or qualifying menu click

Within one minute, with a cap of three messages

A welcome message

Template message

Using an approved template, for certified Service Accounts only, and not for marketing

Order, delivery, and account notifications

Mass broadcast

Four a month for a Service Account, and each user can receive four a month

Segmented campaigns and announcements

These limits come from Tencent's documentation on customer service messages and mass sends. Tencent's Chinese pages list the same limits, but Tencent says they may change and only some custom menu types qualify, so check its list before you rely on a menu click.

Pro Tip: Finish your custom menu before you connect WeChat to SleekFlow. SleekFlow's Help Center article on connecting says the custom menu won't be accessible on the WeChat Official Account Platform after the connection step unless you disconnect from SleekFlow.

PIPL Article 39 says a handler that sends personal information outside China must tell the individual about the overseas recipient and get separate consent, and GDPR Article 3(2) covers businesses outside the EU that offer goods or services to people there or monitor their behavior. Rules differ by market, so ask local counsel how both apply to your setup.

What does enforcement look like?

Chinese regulators have acted on cross-border transfers. In September 2025, according to an Arnold and Porter advisory, they announced a case in which the Shanghai unit of a European luxury brand sent data to its French headquarters without a security assessment, standard contract filing, certification, or separate consent, and the penalty was not disclosed.

What should you raise with counsel at the CRM layer?

Four topics belong in your talk with counsel before launch. Ask which legal basis covers each use of data (PIPL Article 13 lists consent as one of several), how people can withdraw consent (Article 15 requires a convenient way), where Mainland Chinese data is stored, and how you keep a record of consent.

What should you look for in a CRM integration for WeChat?

Judge a platform by what your team can do with it. Ask whether WeChat threads sit next to your other channels, whether each person has one record, whether marketers can build segments without an export, and whether the system respects WeChat's reply window.

You have two routes:

  • A native channel. A service desk or CRM may offer a built-in WeChat channel, so check whether it handles scans and menu clicks.
  • A messaging platform in front of your CRM. It handles the inbox, then syncs records into Salesforce, HubSpot, or Shopify, and your CRM stays the system of record.

How do you set up a CRM for WeChat, step by step?

Setting up a CRM for WeChat takes 8 steps. Pick one objective, audit your assets, set them up, connect the platform, design the tags, build three flows, train the team, and pilot one region through a full purchase cycle before you scale.

  1. Define the objective. Pick one: repurchase rate, lead-to-close, or cost per qualified conversation.
  2. Audit what you have. Which WeChat assets exist, who holds the console logins, and where customer data sits today.
  3. Set up or upgrade your WeChat assets. For example, a verified Service Account, and a Mini Program if you sell.
  4. Connect the plumbing. Link the account to your messaging platform, map fields to contact attributes, then sync to your CRM.
  5. Design the tag list before you automate. Keep it short and shared, such as tier, city, product interest, and preferred language.
  6. Build the first automations. A welcome and consent message, routing, and one follow-up.
  7. Train the team. Reply windows, tagging habits, and when to hand off to a person.
  8. Pilot, then scale. Run one region or product line for a full purchase cycle and compare against the metric from step one.

How does SleekFlow work with WeChat?

SleekFlow connects one verified WeChat Service Account to its shared inbox, next to WhatsApp, Instagram, and other channels. Your team can reply to WeChat customers from the same place as every other conversation, inside WeChat's 48-hour reply window, and the Help Center lists the limits below.

Per the Help Center (updated 13 Aug 2026), a business can't start a WeChat conversation, and anything it doesn't list isn't supported:

  • Service Accounts only. You can connect one verified WeChat Service Account to each SleekFlow account. The connecting guide (updated 15 Oct 2026) says Enterprise WeChat accounts aren't supported.
  • Message types. You can send text, voice notes of 16 MB or less, payment links, product catalog messages, and emojis. You can receive text, voice notes, and emojis. Location, contact messages, stickers, and published articles aren't supported.
  • Broadcasts and flows. You can create broadcast campaigns with a WeChat Service Account, and the Flow Builder Send message action lists WeChat as a channel. Broadcasts show no Read status for WeChat.
  • Cost. Tencent's overseas verification FAQ lists US$99 per review for overseas organizations, and the Help Center says sending and receiving messages through WeChat is free of charge.

How did Legacy Artisan unify 6 channels, including WeChat?

Legacy Artisan, a luxury watch retailer in Hong Kong, brought 6 messaging channels, including WeChat, into one platform for more than 10 timepiece specialists. Mainland Chinese clients preferred WeChat, while others used Messenger or WhatsApp, so interaction history was hard to track.

What the retailer set up:

  • Click-to-chat buttons on Facebook and Instagram posts that open WhatsApp or Messenger.
  • Routing to specialists by watch brand.
  • Labels that record customer preferences, with WhatsApp broadcasts for event invitations.

By Q3 2024, new customer inquiries across all 6 channels had risen 52.3% from the previous quarter. Read the full case study.

Where should you start?

Start with one objective, one region, and one pilot, and keep your CRM as the system of record. Check the consent and cross-border questions with local counsel before customer data leaves China, then connect a verified Service Account to your inbox.

Frequently asked questions

Is a CRM useful only if my brand is already in Mainland China?

Not necessarily. Chinese travelers, students, and expatriates in other markets may already reach you on WeChat, and Tencent's registration guide says organizations outside mainland China can register one Service Account in select regions. Rules for payments and advertising differ by market, so ask local counsel.

How long does it take to see results?

It depends on account verification and your data. You need at least one full purchase cycle of tagged data before segments mean much. Review it against the metric from step one.

Can my team manage WeChat, WhatsApp, and Instagram in one place?

Yes, with a platform that treats each as a channel on a shared contact record. SleekFlow's inbox supports a WeChat Service Account alongside WhatsApp and Instagram, within the limits above, so check the Help Center before you plan beyond replies.

Is it hard to stay compliant with PIPL and GDPR?

That depends on your markets and your data, and it's a legal question. Cross-border notice and separate consent (PIPL Article 39), a legal basis for each use of data, a way to withdraw consent, and where data is stored are the points to settle first, so ask local counsel to review your setup before launch.
