How to add multiple users to an Instagram business account (2026)
TL; DR: Quick Summary
- To add multiple users to an Instagram business account, skip the Add account button and invite people through Meta Business Suite or shared access.
- Sharing one password hides who posted what, and removing one person means changing the login for everyone.
- Meta Business Suite lets you give each person only the tasks they need, so a designer can post without reading private messages.
- Meta's business help says temporary access lasts 3 to 75 days, so a freelancer's access ends on its own.
- Check the People list every quarter and remove anyone who has left, so access always matches your current team.
Many teams try the Add account button first, because it sounds like the way to add multiple users to an Instagram business account. It isn't, because it only lets one person switch between accounts they can already log in to.
The usual result is one shared password in a group chat, and nobody knows who posted what. Removing one person then means changing the password for everyone, and a leaver can still log in until you do.
There is a better way, and nobody has to share a password. Meta Business Suite lets you give each person set tasks, and Instagram shared access lets the owner invite someone from the app.
This guide shows both methods and explains Meta's access levels. It also covers agencies, freelancers, and when a team needs more than Meta's tools, plus how to keep access tidy as people join and leave.
How do you add multiple users to an Instagram business account?
Don't use the Add account button in Instagram's settings. Instagram's Help Center says it lets you add accounts and switch between them without logging out, so it gives your team no access.
Use one of two methods instead. Meta Business Suite gives each person set tasks on the account, and Instagram shared access lets the account owner invite someone from the app.
Instagram's Help Center says shared access is only available to eligible accounts, and not to teens. Check that the Shared access option shows in your app before you plan around it.
How to give access in Meta Business Suite
Before you start, make sure you have full access to the business portfolio. Your Instagram account must also be added to that portfolio, and you must be logged in to it when you assign it.
Open Settings in Meta Business Suite and click People.
Click Invite people and enter the person's email address. It must match the one on their Facebook account.
Choose their business portfolio permissions. Basic access is the default.
Pick the Instagram account and the tasks they need, then click Invite.
For a freelancer or contractor, choose temporary access when you add them.
The person has to accept the invite before they can work on the account.
How to give access with Instagram shared access
The account owner invites the person from the Instagram app. Tap Profile, Menu, Shared access, then Invite people, pick the account and tap Send invite.
People you invite can't see your inbox or stories until you allow it. Under Manage, you switch on Inbox access or Story access for each person.
The same screen shows account activity and lets you remove people later.
Why shouldn't you share one Instagram login?
Sharing a password means nobody can tell who posted what. When someone leaves, you have to change the password and tell everyone else.
Giving each person their own access fixes both problems. You can remove one person without touching the others.
What do Meta's access levels mean?
Meta gives two levels of access on a business portfolio. Full access (formerly full control) lets someone manage everything in it, including people and assets. Partial access lets them work only on the assets or tasks you assign.
Give most people partial access, and keep full access for the one or two people who run the account. Basic access is the default, and finance access can be added on top.
Temporary access suits a short project. Meta's business help says it gives basic access for a minimum of 3 days and a maximum of 75 days, and the person is removed when it ends.
How do you give an agency or partner access?
Ask the agency for its business portfolio ID, which it finds in Settings under Business portfolio info. The agency needs its own business portfolio first.
Then open Settings, click Partners, click Add and choose Give a partner access to your assets. Enter the ID, pick the Instagram account and choose full or partial access.
Inviting someone by email is different. It adds one person to your own portfolio, so you have to remove them yourself when the contract ends.
An agency that can read your customers' messages may be acting as your data processor. Where GDPR applies, Article 28 says a contract must bind the processor to your documented instructions, and rules differ by market, so ask local counsel.
When are Meta's tools not enough for a team?
Meta's tools control who can log in. They don't turn Instagram into a shared inbox where a team can see every customer conversation alongside other channels.
If your team answers a high volume of Instagram Direct messages, you may want a tool built for that. For example, SleekFlow's Instagram channel is one option.
SleekFlow is an official Meta Business Partner. It is an AI suite that empowers ambitious, growing brands with an AI workforce that acts on customer conversations alongside their sales, marketing, and support teams.
Once an admin connects Instagram, your team can view and reply to Instagram messages from the SleekFlow Inbox, next to your other channels. The Help Center lists four Instagram capabilities:
Connecting multiple Instagram Business accounts to one SleekFlow account.
Sending and receiving messages with customers through Instagram Direct.
Automatically replying to Instagram post comments.
Using Instagram as a channel in Flow Builder workflows.
The Help Center's Instagram overview says that a feature not listed there isn't supported. Read it before you plan around a feature.
If your team plans posts ahead, a social media scheduler can publish Instagram posts and Reels at the time you set.
How do you keep a shared Instagram account secure?
Review the People list every quarter and remove anyone who has left or changed roles. Meta also suggests turning on two-factor authentication for your business portfolio.
Give agencies and freelancers the least access they need. Set an end date for anyone who is only there for a project.
Which method should you use?
Use Meta Business Suite if you have a team, freelancers or an agency. Use Instagram shared access for a small team that only needs to reply to messages or post.
Whichever you choose, don't share the password. For more on the setup, read our guides to Facebook Business Manager, Instagram business chat and switching to a business account.
